Position Summary:

The Program Assistant supports the effective operation and delivery of the organization’s programs. This role provides administrative, fundraising, and communication support to ensure the successful planning, implementation, and evaluation of program activities. The ideal candidate is organized, detail-oriented, and committed to the mission of The Hastings and Prince Edward Learning Foundation (HPELF).

Key Responsibilities:

  • Maintain accurate records and documentation for programs, including reports, databases, and files.
  • Assist with creating newsletters, social media posts, and other promotional materials.
  • Assist with tasks related to volunteer recruitment, recognition and retention
  • Support data collection, entry, and analysis for reporting and evaluation purposes.
  • Assist with tracking and distributing product donations.
  • Help prepare grant proposals, reports, and other program-related documents.
  • Coordinate logistics for events, workshops, training and other HPELF activities.
  • Communicate with partners, volunteers, school staff, and stakeholders as needed.
  • Provide administrative support to other HPELF staff including, but not limited to: communications, preparing meeting packages,  taking notes/minutes at meetings etc.
  • Perform general office duties and other tasks as assigned, to ensure the smooth day-to-day operation of HPELF.

Qualifications:

  • College diploma in a related field (public relations, non-profit management, business) or an equivalent combination of education and experience.
  • Minimum of 2 years of experience in administrative or program support, preferably in a nonprofit environment.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills, with an ability to tailor messaging for diverse audiences.
  • Proficiency in Google Workspace.
  • Ability to work independently and collaboratively in a team environment.
  • Comfortable managing multiple priorities and deadlines.
  • Commitment to the mission and values of The Hastings and Prince Edward Learning Foundation
  • Working knowledge of French language is an asset.

Working Conditions:

  • In office/work from home hybrid 
  • Some evening or weekend hours will be required during events or peak periods
  • Occasional lifting of materials or event setup will be involved
