About Us: St John’s is a well-established presence in the community. We are actively working to be a more visible presence through engagement with the community, by seeking to shift the perception of our Parish Hall to a Community Hall. We want to support non-commercial organizations, individuals and service agencies who serve the needs of our population, especially those in need. This includes unhoused community members, seniors, youth, individuals, and families in distress, etc.

About the Role: The successful candidate will become a key liaison with our existing and new clients who use the hall throughout the week as well as with occasional clients. In addition, we are seeking someone who can support the corporation (incumbent and wardens) with some regular administrative tasks including scheduling; invoicing; monitoring resources such as cleaning/office supplies, propane, and heat, while administering routine documentation tasks and doing occasional research.

Responsibilities/Identified Tasks:

  • Office:
    • Pick up and distribute mail
    • Printer counts and management
    • Update files (records) including Parish List and complete annual statistics for Diocese
    • Maintain rental records – insurance certificates and rental agreements
    • Maintain email records for service providers and bodies of work (incl: cleaning, snow removal, Orkin, Health Inspections, Printer, etc.)
    • Post Council minutes
  • Cemetery support:
    • Annual reports and documentation
    • Co-ordinate purchase of supplies
    • Initial phone and client follow-up
  • Parish service and taping schedule:
    • Produce and maintain
    • Update and post
  • Renter liaison:
    • Manage relationships on a regular basis
    • Schedule required cleaning
    • Send invoices
  • Monitor:
    • Heat and propane levels –
      • adjust based on usage for all users and to optimize fuel consumption
      • ensure timely propane refills
    • Monitor and respond to all email – rental inquiries/information/etc.
    • Monitor church supplies – including cleaning and office supplies
  • Research:
    • Pricing for purchases
    • For Council as required

Candidate Requirements: The role is much more that a secretarial position and calls for a high level of both computer skills and a strong proactive service-oriented mindset.
