Location: 

Work from home, occasional trips to Belleville and within region for run errands, meetings, events

Hours: 

Estimated 5-10 hours/week to start, with more hours likely (if desired) as the organization grows

Salary:

$20/hr to start ($4800 to $9600/yr) + expenses + $0.70 per kilometer for work travel

Job Duties & Responsibilities:

Scope of Services

The Administrator’s services will be phased-in gradually with training and guidance provided in some service areas. Other areas will be new to the Client. The administrator is not required to have fully developed knowledge or skill set of every service area, if they are willing to acquire them independently over time.

General administrative support: file & organize info, project management, research, record keeping, schedule meetings, basic bookkeeping.

Membership management: welcome calls, renewal emails and calls, renewal tracking, maintain membership database, timely and friendly customer service, record member info.

Events: secure speakers, book venues, set up online registration, create promo graphics, presenter slides, on-site set-up (signage, tables, audio-visual equipment), greet attendees, collect payments, track and record revenue/expenses and attendance.

Communications: Engage with stakeholders using phone and an email marketing system, write newsletters, media releases, training documents.

Marketing: social media posts, blog posts, Facebook ads, promo materials, outreach (emails/calls).

Tech: edit/upload videos, use online project management tool to stay organized, use various online applications, set-up and host virtual meetings, work with webmaster and IT tech to maintain website and solve tech issues.

Advocacy: monitor issues, help coordinate advocacy efforts, create advocacy documents

Volunteer team management: assign tasks to volunteers and track progress.

Sponsorships: help design packages, recruit sponsors, coordinate service logistics.

The Ideal Service Provider

  • Disciplined to work independently and unsupervised from their own home.
  • Highly dependable, reliable, easy to reach, responds same day to emails.
  • Located in or within 30 minutes of driving distance of Belleville.
  • Looking to build a long-term commitment with the Client.
  • Highly comfortable with computers, software, social media, AI.
  • Able to manage multiple projects, multi-task, stay organized, work quickly.
  • Skilled in oral & written communications, friendly, likes dealing with people.
  • Willing and quick to learn any missing skills/knowledge.
  • Able to solve problems on their own and seek solutions as challenges arise.
  • Able to perform physical tasks including setting up meeting rooms, carrying equipment and boxes.
  • Has their own modern laptop, mobile smartphone, access to a motor vehicle.
  • Has or is able to obtain own liability insurance and a WSIB clearance certificate.
